Evendale Recreation Commission Meeting
November 20, 2008
Called to order at 7:34am
Roll Call: Stiney Vonderhaar, David Nichols, Wayne Mosley, Michele Gottschlich, Grace Ficke, Pam Meyers, Mary Lou Isaac, and Gus Janszen.
Motion to approve minutes made by Wayne Mosley; seconded by Stiney Vonderhaar.
Motion approved.
Additions to the agenda: none
Old Business:
Tri-Health Report - as stated in commission's packets.
Tennis Court Committee representatives met with the village engineer and reviewed each option and cost for additional tennis courts.
· Option 1 will not fit (it interferes with the roadway) in the tennis complex area.
· Option 2 keeps all six courts together.
· Option 3 keeps five courts together and one stand alone court. Think about soccer field 3 moving north into the old Churchhill property, which would be acceptable if we also added parking on the north side. This field is one of the best in the area and is used almost year-round.
· Options 2 and 3 look the best on paper; however, commission would like to see the financials reviewed since the estimates seem low. Stiney will meet again with the tennis court committee to discuss the commission’s views.
· On December 11th, council will meet and prioritize village projects for the 2009 budget. At this time, tennis court additions are an unfunded project.
New Business: none
Director's Report:
· Two pool operation bids were received and opened. SwimSafe Pool Management is the best bidder.
· Fitness RFP’s were let, and two companies attended the mandatory conference and tour of the facilities. Bids are due by Tuesday, November 25th and we will open the bids at 10:00am.
· Both recommended bids will be placed on an ordinance for the December council agenda for final approval.
· This meeting is the last one for Grace Ficke, Michele Gottschlich, and Mary Lou Isaac. David and commission thank them for their great service and dedication over the years.
· The tennis ball machine was stolen from the shed at the tennis courts. A police report was filed, and an investigation is underway. George Snyder has contacted the insurance company. New security measures will be put in place to protect the new machine.
· The Erickson Project has been struck from Council's agenda.
· Business memberships for the fitness center and facility are currently limited to ninety. There were some inquires after we "sold out" this year. Ninety seems to be a good number; but commission will allow the Director to use his judgment on a case by case basis if we sell out.
Phi Lambda Pi Report:
· Members volunteered at the Gorman Heritage Farm Sunflower Festival.
· Activities have included Bunko, movie night, and the annual Haunted Trail.
Open Discussion:
· Questions have been asked about where people can smoke while at the pool. The designated smoking area is located outside the fence between the concession area and the main recreation building. Consideration should be given to changing the ordinance to no smoking on the municipal grounds except in designated areas. Stiney will discuss this with the village solicitor.
· Commendations to Kristen Maiden for organizing soccer festivals for U-6 and U-8 levels. These youngsters do not participate in a tournament, so the festivals are held to wrap up their season. The festival is primarily an Evendale event; but other communities are invited to attend.
· Commendations to Pat Schappacher, for excellent customer service during a resident’s recent enrollment. Her work is a representation of the great people who work at the Recreation Center.
· Recreation Commission member’s term is 2-years; however, if no other resident applies for the position, the Mayor may ask a member to return for another term.
· Great Job to Phi Lambda Pi for their Rake n' Run service project. It is wonderful to see young people helping out the older residents of the community. (Director's note: this project has grown so much; the project now is overwhelming our teen group. Kim Pielage, the program’s supervisor, is considering contacting other groups to help with the project.)
· Griffin Park clean up did not have as many volunteers as usual.
· Soccer tournament went well; but none of our teams were state champions this year.
